Facility Rental Terms
These terms apply to requests to rent spaces at the Lax̱g̱alts’ap Community Centre. All bookings are request-based and require staff approval before they are confirmed.
Available Facilities and Rates
No rental deposit is currently required. Renters remain responsible for approved rental fees, additional costs, cleaning charges, damage, missing equipment, or other costs arising from their use of the facility.
Capacity, Accessibility, and Amenities
Gymnasium capacity and amenities
The gymnasium lower level may accommodate approximately 1,500 people with bleachers and floor space for chairs. The upper balcony may accommodate approximately 700 additional people, for an approximate total seating capacity of 2,700, subject to event layout, safety requirements, and staff approval.
Gym amenities include a stage, retractable bleachers, lay-down floor mats, chairs, tables, projector, drop-down screen, sound system, microphones, and score clock.
Kitchen amenities
The kitchen is a fully furnished commercial kitchen with a large induction soup boiler, coffee urn, propane stove, burners, walk-in cooler, ice maker, sinks, and dishwasher.
Accessibility
The building includes accessible washroom amenities and elevator access.
Booking Review and Approval
All rental requests are reviewed by staff. Approval may depend on availability, event type, expected attendance, staffing requirements, security requirements, cleaning requirements, equipment needs, and any potential impact on the facility or community.
Laxgalts’ap Village Government reserves the right to decline a rental request or to approve a request with reasonable conditions.
Multi-Day Rentals
Multi-day rental requests are permitted. The renter must identify the full date range requested, including setup and takedown time. Additional charges may apply where the facility is required outside the approved event time, including for decorating, deliveries, rehearsals, preparation, cleanup, or equipment removal.
Alcohol, Licensing, Security, and Special Event Requirements
If alcohol will be served, sold, or present at an event, the renter must disclose this in the rental request. Approval to rent a facility does not constitute approval to serve alcohol.
The renter is responsible for obtaining all required permits, licences, approvals, insurance, security, supervision, and compliance with applicable laws and regulations. Laxgalts’ap Village Government may require additional security, staffing, insurance, or conditions for events involving alcohol, large attendance, paid admission, performances, late hours, or higher-risk activities.
Food and Kitchen Use
Use of the kitchen must be requested and approved in advance. Renters are responsible for safe food handling, proper cleanup, removal of food and supplies, and compliance with any applicable food service, catering, or public health requirements.
The kitchen must be left clean and orderly after use. Additional cleaning charges may apply if the facility is not returned in acceptable condition.
Cleaning, Damage, and Return of Facility
The renter is responsible for leaving the facility clean, orderly, and free of garbage, decorations, personal items, food, and event materials unless otherwise agreed in writing.
The renter is responsible for any damage to the building, grounds, fixtures, equipment, furnishings, appliances, flooring, stage, bleachers, kitchen facilities, washrooms, or other property caused by the renter, event organizers, guests, contractors, performers, caterers, volunteers, or attendees.
Insurance
Laxgalts’ap Village Government may require proof of event insurance before confirming or proceeding with a rental. Where required, insurance must name Laxgalts’ap Village Government as an additional insured for the event date or rental period.
Insurance requirements may vary depending on the nature, size, and risk level of the event.
Cancellations and Changes
The renter must notify Laxgalts’ap Village Government as soon as possible if a rental is cancelled, postponed, shortened, extended, or changed.
Laxgalts’ap Village Government may cancel or modify a booking if the facility becomes unavailable, if safety concerns arise, if required information is not provided, if payment is not received, if required insurance or permits are not provided, or if the renter does not comply with these terms.
Facility Rules
- Use only the spaces approved in the rental agreement.
- Follow all instructions provided by Laxgalts’ap Village Government staff.
- Respect posted occupancy limits and safety requirements.
- Keep exits, hallways, stairways, washrooms, elevator access, and emergency routes clear.
- Supervise children, youth, guests, volunteers, performers, caterers, and contractors.
- Avoid attaching decorations or materials in ways that damage walls, floors, doors, windows, fixtures, or equipment.
- Remove all decorations, food, supplies, garbage, personal items, and event materials by the end of the approved rental period unless otherwise arranged.
- Report any damage, spills, safety concerns, or incidents to staff promptly.
- Comply with all applicable laws, regulations, permits, licences, and public safety requirements.
- Ensure that the event does not create unreasonable disturbance, risk, damage, or disruption.
